Delhi NCR summers bring extended stretches of high heat, which changes the priority list for venue booking more than most people plan for until guests are visibly uncomfortable partway through the event.

AC capacity, not just AC existence

Almost every indoor venue will tell you it has air conditioning. The real question is whether that AC capacity is actually sufficient for your expected headcount and room size, since a system built for a smaller group struggles noticeably once a full room of people raises the ambient temperature. Ask about this specifically rather than accepting "yes, we have AC" as a full answer.

Timing around peak heat

For any event with an outdoor component, avoiding the early-to-mid-afternoon window during peak summer makes a real difference to guest comfort. A morning or evening slot is usually far more comfortable than a midday booking for the same outdoor space.

Outdoor bookings need genuine shade, not just shade in photos

A shade structure that looks adequate in a listing photo taken at a flattering angle may not actually cover the full usable area once tables, seating, or a dance floor are set up. Ask for the actual covered area relative to your event's footprint.

Power capacity for cooling equipment

If a venue's cooling relies partly on additional fans or portable AC units, confirm the power circuit can actually handle this alongside your other equipment, lighting and AV especially, without tripping a breaker mid-event.

Water access matters more in summer

For any physical activity, fitness class, dance session, or outdoor event, confirm reliable drinking water access specifically, since heat increases how much guests need without always realizing it in the moment.

A short checklist for a summer booking

AC capacity confirmed against your actual expected headcount, not just AC existence
Event timing checked against peak heat hours for an outdoor component
Actual covered shaded area confirmed against your event's real footprint
Power capacity confirmed if cooling relies on additional units alongside other equipment
Water access confirmed, especially for a physical or outdoor event
